How Much Does an IT Migration Cost for a Small Business? (And When It's Free)

July 10, 2026 6 min read

Migration pricing is one of the most opaque corners of small-business IT. Here is what the market actually charges a 10–20 user business in 2026 — and the conditions under which reputable providers do it for free.

If you're a small business planning a move — Google Workspace to Microsoft 365, an aging on-premises server to the cloud, or one IT provider to another — the first surprise is usually the migration quote. Here's how migration pricing actually works in 2026, with real market benchmarks.

What the market charges for a 10–20 user migration

Migration projects for small businesses are typically productized as fixed-fee packages rather than open-ended hourly work. A representative example from the Microsoft commercial marketplace: a fixed-scope Google Workspace to Microsoft 365 migration priced at $1,380 for 10 users, plus $80 for each additional user — putting a 20-user business at roughly $2,180, or about $109 per user, for a standard three-week engagement.

  • On-premises servers — Exchange or file servers add discovery, hybrid configuration, and decommissioning work
  • Line-of-business applications — anything with its own database or integration needs its own migration plan
  • Out-of-scope surprises — many published migration quotes explicitly exclude Teams, SharePoint architecture, and Intune device management, which arrive later as change orders

The "free migration" landscape — read the conditions

Free migration offers are real, but they're always conditioned on something. The three patterns you'll see:

  • Free with licensing — some Microsoft partners bundle migration free when you purchase your Microsoft 365 licenses through them; the margin lives in the license relationship
  • Free with a managed agreement — the migration is free because it's the on-ramp to an ongoing managed IT relationship; this is the most common pattern among full-service MSPs
  • Partner-funded — a smaller set of Microsoft partners run migrations funded through Microsoft partner-program incentives

None of these are tricks — they're different answers to the same question: who pays for the engineering hours? The only red flag is a "free" offer whose conditions aren't written down.

Our version, in plain English

CloudTechForce migrates businesses of 10–20 users free of charge when they start a quarterly (3-month minimum) managed IT agreement. The free scope covers the standard migration — email to Microsoft 365, files to OneDrive/SharePoint with permission mapping, user and device onboarding, MFA, and a security baseline — with a written cutover plan. Complex environments (servers, custom applications, hybrid identity) get a transparent quote before any work starts, and after the first quarter the agreement simply continues or you walk away with everything documented.

Full terms are on the free migration page. If your business is larger than 20 users, book a free assessment — we discount migration projects for larger teams that commit to a managed agreement, and we'll quote it before you commit to anything.

The bottom line

For a 10–20 user business, a competently executed standard migration is worth roughly $1,400–$2,200 on the open market. If a provider offers it free, understand which of the three patterns you're looking at, get the scope in writing, and treat the migration as what it really is: the first ninety days of a relationship you're auditioning.
