Managed IT Services Pricing Calculator

Managed IT services cost $75–$250 per user per month in 2026 depending on scope, servers, sites, compliance requirements and on-site needs. This calculator uses CloudTechForce's published plan ranges and typical add-on rates to estimate a monthly and annual cost for your business, and compares it with the cost of hiring in-house. No email is required to see the result.

How the estimate is built

InputEffect
UsersMultiplied by the plan's per-user range
Plan tierCore ($75–$125), Complete ($125–$175) or Compliance ($175–$250), auto-recommended from your answers and adjustable
ServersFirst two included; each additional server adds a flat monthly amount
SitesEach additional site adds network monitoring
Compliance frameworkMoves the recommendation to the Compliance plan (HIPAA, CMMC, SOC 2, PCI-DSS)
Cyber-insurance requirementsMoves the recommendation to at least Complete (EDR, MFA, training, backup evidence)
On-site visitsAdds scheduled on-site time beyond the plan allowance
Co-managedReduces the per-user rate to reflect a narrower scope shared with your internal IT staff
VolumePer-user rate improves above 100 users

The in-house comparison assumes one IT generalist at a fully loaded cost of $85,000–$110,000 per year plus tooling at roughly $25 per user per month.

What the estimate does not include

Hardware, Microsoft 365 and other licences, project work (migrations, office moves, server builds), and on-site visits beyond your plan. Those are quoted in writing before any work starts.

FAQ

Frequently asked questions

How accurate is the calculator?
It uses our published plan ranges and typical add-on rates, so real quotes land inside the range for most 10–100 user businesses. Unusual environments (many servers, custom applications, multiple countries) are quoted after an assessment.
Why is there a range instead of one number?
Because two businesses with the same headcount can need very different things. The assessment fixes the number; the calculator gets you to the right ballpark and plan.
Does the calculator store my information?
No. It runs entirely in your browser. Nothing is sent unless you choose to request a quote.
Can I use this to sanity-check another provider's quote?
Yes. Enter the same inputs and compare. If their number is far outside the range, ask what is excluded.
